IT regulations

Approved by the board in case S 14/11, at the board meeting on 15.2.11.

These regulations apply to all students and employees - hereinafter referred to as users. Users must have signed this agreement before they are granted access to the Sámi allaskuvla. Sámi allaskuvla is obliged to supervise security and risk in information processing. The guidelines are designed to ensure that Sami University College and users have the same opinion.

1. User account. The user is personally responsible for the use of his/her user account. When the computer is left, it must be locked or turned off.

2. The password confirms that it is the right user who will use the computer. The password is personal and must not be given to others and must not be written down. If there is a fear that an unauthorized person has obtained the password, it must be replaced immediately.

3. Computer equipment (computers, servers and networks) at Sámi allaskuvla shall be used in research, teaching and administrative contexts. The equipment shall not be used in commercial contexts or in other contexts that do not affect Sámi allaskuvla's activities. Private use of PCs shall be limited. Use of computer equipment that violates Norwegian law is not permitted.

4. Destruction. If computer equipment is destroyed or stolen, the user is financially responsible for this.

5. Changes. Users (employees and students) shall not change the equipment without permission from the Technology Department. Everyone has a responsibility to ensure that this is not done, and shall report to the Technology Department if a violation of the rules is suspected.

6. Storage space and e-mail. Each user has their own location on the server where e-mail and files are stored. Only the user themselves have access rights. If your employer suspects that something illegal has been done, the content of the files and emails can still be viewed (see more about the Data Protection Authority on the website).

7. Sami University College's Email: Private use of Sámi allaskuvla's email must ensure that it is not perceived as a public letter from the university. Email that does not belong to Sámi allaskuvla or common social functions must not be sent with the college's email account. Email must be used as a personal communication system. Conversations must not go to the large distribution groups. The user must check the email regularly to get important information and otherwise gain insight into the activities of Sámi allaskuvla. Internal email is not permitted to be distributed outside Sámi allaskuvla. Email that is obviously sent incorrectly must be deleted immediately. Email that is sent to the wrong address must be "recalled" if necessary.

8. Identification. The use of anonymous or incorrect names in e-mail or other services is not permitted. Everything sent from Sámi allaskuvla must be identified with a name. The sender is responsible for ensuring that the content, what they forward, is in accordance with the regulations.

9. Copying of computer programs is not permitted without express permission. The user must not install programs on the PC themselves. If a special program is needed, the Technology Department must be contacted. Downloading and copying illegal software is not accepted by Sámi allaskuvla. It is prohibited to obtain, store or share information that is contrary to Norwegian law.

10. Storage. The data must be stored on a server. The servers have backups, so that even if the computer is destroyed or stolen, the files will not be lost. Sámi allaskuvla is not responsible for the material stored on the computer. Sámi allaskuvla has a system for reconfiguring the PC in an efficient way. To access it, all data must be stored on the servers. It is not permitted to store private files on computer systems at Sámi allaskuvla.

11. Other storage media. If relevant material related to Sámi allaskuvla is stored on other storage media, it must be ensured that it is not lost/made available to others. The research material must be encrypted.

12. Personal data must be protected. Transfers outside Sámi allaskuvla must be encrypted. The same applies to storing such information on other storage media.

13. System errors. It is not permitted to search for system errors. No "hacking" is permitted in Sámi allaskuvla's network. However, if a system error is discovered, it must be reported immediately to the Technology Department.

14. Private equipment can be used on Sámi allaskuvla's network, as long as it is secured with antivirus programs and updates for the OS in general.

15. Be careful with unknown information. If you receive links on e-mail, Facebook, etc. that you do not know, then you should be careful. If you are not completely sure that it is not dangerous, then delete it. Memory sticks, etc. that come from outside, which are used at Sámi allaskuvla, must be virus checked in advance.

16. Reporting. All security incidents and alerts must be reported.

17. Visitors. The person who procures guest lecturers or guest workers must also be responsible for explaining and requesting that the duty of confidentiality is observed, and that security
